When it comes to Groups in Genius.AI, the clue is well and truly in the name.
Groups are your way of defining who's in your "circle", so you can share Products or saved Scripts with them, and only they can use them.
And you're not limited to just one group - you can create as many as you like. One for your family, your downline - even your pets if you want - anyone who has an active Genius.AI subscription.
Right now this might all sound a little 'esoteric', so let's walk through creating a Group in Genius.AI so it's crystal clear how you can benefit from them.
1. Creating a Group
First up, start by heading over to the "My Groups" page in Genius.AI, by clicking on the "Groups" icon at the top right of the Genius.AI navigation bar (it's represented by two people close to each other)
On the following page, you'll see a list of any and all Groups you've created (if you haven't created any, don't worry if you don't see anything, we'll get to that in a second)
As you can see in the image above I have Groups I've created called "My Downline", "My Family" and "My Dog, Toto".
We'll get into how to edit these and what these buttons mean shortly, but right now let's focus on the task at hand - creating a new group.
To create a new Group in Genius.AI, click the "+ New Group" button in the top right of the Groups page.
You should now see a card pop-up that prompts you to enter the name of your New Group. In this example I'd like to create a group for my Yoga club, so I'm going to call it "My Yoga Club", but you can call yours whatever you like.
Once I'm happy with the name, I'm going to click the "Save" button...
And 'voila'! My new "My Yoga Club" Group appears in my "My Groups" dashboard.
2. Adding people to your Group
A Group in its own isn't much use (plus, it's kinda lonely!)
So let's look at how to add people to our Group, so we can do a bunch of cool stuff like sharing products and scripts with them to use!
With my new "My Yoga Club" Group created, I'm going to click on the "Users" button that's below its name.
Next, we see the User Manage card appear. And we can get a look at all the people I've got in My Yoga Club group.
Right now it's just lil' old me, so let's change that.
I'm going to invite my Yoga friend Jessica in here by first clicking the "Add User" button in the top right of the User Manage card.
The card just changed 😮! But stay calm this all part of the plan...
With the Add group user card now visible we can (you guessed it) add a user to our group!
To add a user to your group, first type their email into the "Email" search bar at the top of the Add group user card and hit the "Search" button.
IMPORTANT: The email you enter must be the same email your friend or colleague used when they signed up for Genius.AI - otherwise you won't find them when you hit search. If you don't know their email or you get a message back from Genius.AI saying the user wasn't found, double check the email you're entering or go ahead and ask your friend for their email, then come back and paste it into the search bar here.
If I've entered the correct email address, I should see Debbie and her information appear in the area below the search bar, like this:
Now all I need to do is decide what role I want to give Debbie in my Group and click the correct button on the right of her information.
But I bet you're wondering "What role do I pick?" - Well, here's how to decide:
Choosing the Right Group Role for a New User
The roles you give to a user depends on what level of control you want to give them within your group.
Here's a breakdown of each role and the level of control it grants the user:
- Owner - Owners have maximum authority. They can use all products and scripts made available in the group and also see all users in the group. They can also add and remove users from the group, add and remove products/scripts from the group, and even delete the entire group.
- Admin - Admins have all the authority of owners but they cannot delete the group. They can still add and remove users, products, and scripts, use all products and scripts and see everyone in the group
- User - Users can only use the products and scripts made available to the group. They cannot add or remove anything from the group
For the majority of the people you add to the group, you'll probably want to simply click "Add as User" to add them as a User. This way you stay in control and nobody can delete your group without you ever knowing.
Owner and Admin roles are there for people who you would like to delegate the control of the group to another user (say a member of their team), who can then follow the steps in this guide to update the group as necessary.
In this example, I'm going to keep things simple and click "Add as User" on Debbie's record in the Add group user card and add Debbie and set Debbie's role as User.
I click the button, and after a quick animation, we're back on the User Manage card, and I can see Debbie has been added to my groups with the Role of User - nice!
In this example I'm only going to add Debbie to my Group, but if I wanted to add multiple users to my group, I would simply click the "Add User" button again in the top right and repeat the steps we've just gone through.
With that said, now that Debbie is added I can either choose to now click the "Close" button in the bottom right of the User Manage card and I'm back to the "My Groups" dashboard.
3. How to share Products and Scripts with your Group
Sharing a product or script with members of your group allows them to use it inside their Genius.AI dashboard. It's a great way to share your company's products and marketing material with your team, and make the most of Genius.AI
To learn how to share products with your group, click here and read up on our "How to add Products" guide where we show you how to add a product and grant access to it within groups.
Sharing Scripts with your Group is much the same, and a guide on that will be coming shortly!
4. Removing Users From Your Group
To remove people from your group, from the "My Groups" page, simply find the group you want to remove a User from, click the Users button and click "Remove" under "Actions" for that user.
That's probably a few steps in one, so let's walk through it, by continuing with our "My Yoga Club" group example.
As great as it was, I've now decided Debbie's overstayed her welcome, so I'm going to remove her from "My Yoga Club" group (sorry, not sorry, Debbie).
Clicking the Users button on my "My Yoga Club" card...
...I'm back to the User Manage card, where I can see Debbie.
All I need to do now is click the "Remove" button in the same row as her email and...
Click "OK" on the pop-up that asks me if I'm certain...
And - poof - Debbie gone.
Debbie has now been officially removed from my group and she will no longer have access to any products or scripts that were shared with that group.
5. Changing a User's Role
At some point, you may want to change a user's role and promote them to a higher authority role (or demote them if they're getting a little power-crazy!)
As of the time of writing this article, the only way to change a user's role is to first follow Part 4 of this guide and remove them from your group, before following Part 2 of this guide and re-adding them to your group with the new role.
6. Changing Your Group's Name (i.e. Editing Your Group)
Tired of your group's name? Want something new? Or just need to fix a typo?
No problem.
Again, from the "My Groups" page, simply find the group you want to edit the name of and click the "Edit" button.
The Edit Group card will appear, in which you can edit your group's name as you see fit.
Once you're done, click the "Save" button in the bottom right of the Edit Group card...
...and your Group's name is updated!
7. How to Delete a Group
If you no longer need a Group, it's super straightforward to delete it.
Just head to the same "My Groups" page, and find the group you want to delete.
Then click the "Delete" button.
After clicking, Genius.AI will show a pop-up asking if you are sure you want to delete this group
Select OK if you are sure you want to delete this group or cancel if you've changed your mind.
I'm going to click "OK" to delete...
...and as you can see, my Group has been deleted.
Summary
Genius.AI simplifies the concept of community with its Groups feature, offering a straightforward way for users to create their own circles for sharing products or saved scripts.
These groups, unrestricted in number, can range from family and friends, to business colleges and more, provided all members have an active Genius.AI subscription.
We walked through how to Create a group, how to add new Users to that group, how to define that new user's role in the group, as well as linking to guide on how to share products and scripts with your groups.
Then, finally, we walked through removing users from a group, changing a user's role, editing a group's name and deleting a group entirely.
We hope this guide gave you a whole new understanding of groups in Genius.AI and show you exactly how to make the most of them.
